MANAGEMENT MEETING MINUTES

2. MINUTES OF THE MANAGEMENT MEETING HELD MONDAY 2ND DECEMBER 2024
The meeting agreed the Minutes to be a true representation, and the Chairman signed the supplied copy.

3. MATTERS ARISING FROM THE MANAGEMENT MEETING
Property & Management
CCTV Hard drive has been replaced. Action Zoe

4. CORRESPONDENCE
Thank you from The Office staff and the Maintenance team for their Christmas gifts.
A £500 Cheque has been received from Wargames Club to be help with the cost of the replacement fire doors.

5. PROPERTY & MANAGEMENT
The Maintenance Review document was issued to the attendees and discussed. Copies are available on the notice boards. This review document identifies all the outstanding actions needed however the following are highlighted as requiring urgent attention:
Winter season
Please sanitize hands where possible and clean tables after use.
Wash hands regularly. Clubs if you are unwell, please don’t attend and spread the virus wear a mask to cover your mouth and nose.
Deep clean in Concorde Hall and Jubilee Hall. Action Zoe
The Cooker in the general kitchen to be professionally cleaned Action Zoe
The fire door opposite the maintenance room has blown. Ongoing action Zoe
Mawdsley’s Tanker job for next years’ service in May £639.00 plus VAT Ongoing action Zoe
Energy Survey 6/03/24. New visit for Tuesday 9/04/24
Still awaiting report (nothing received 24/07/24) Ongoing action Zoe
Regular weekly jobs for Maintenance
Litter pick and leaves collection regular and ongoing. Also, hand gel dispenser’s maintenance to keep free flowing and fill up. Refill the Antibacterial spray bottles – funnel provided. Litter sweep.

6. FIRE & SAFETY
Fire Alarm tests weekly. Action Zoe
Monthly light test (Zoe can only do the remote control as the others are done by DS Security.)
Staff Training for Fire Alarm tests. Ongoing Action Zoe
Fire Risk Assessment 15/04/24 Andrew & Zoe in attendance: completed and report is being looked at by Andrew and Zoe. Things are in hand and Management Committee and the Office are working through the recommendations. Ongoing Action/Zoe Andrew

7. ADMINISTRATION
There has been a request that the Piano in Jubilee is tuned. Zoe will contact Pat Holmes (DFHA Quire) Action Zoe.

8. FINANCIAL REPORT
Current Financial Situation:
Deposit. £53,641
Current Account £16,997
Total £70,638
Significant Expenditure - > £500 (during December)
Apart from salaries, utilities and cleaning, there has been no expenditure in excess of £500.
(Although PPL/PRS license and DS securities – new hard drive in CCTV unit, came very close both in excess of £475)
Computer Back-Ups
Mel has asked Martin Bailey to liaise with Smooth IT to quote for setting up an automatic back-up system for our three computers. Waiting Information

9. SOCIAL & FUND RAISING
Spring 2025 Thursday 6 February Wapley Bushes Speaker: Paul Hulbert
Christmas Concert was well attended and the show was enjoyed by all.
The visit to the theatre to see The Nutcracker Ballet was also a success and enjoyed by all who attended.
There will be no Summer Fare. All Actions S&FR Committee

Christmas Market in Downend 2024 - following on from this market, there is a suggestion that further markets could be held 4 times a year. There will be a Downend Partnership Meeting later this month, so Janet will tell us more next month.

As well as representing people and places from our past, we want to include things from today.
Please provide your own 12.7 x 12.7cm (5 x 5 inch) square of fabric to illustrate:

It’s up to you how you make your picture – by painting, sewing, embroidery, appliqué, collage, printing, glueing and sticking, or any other creative way. Use fabric of your own choosing – just as long as it’s not too heavy to be stitched to all the other pieces to make a large hanging banner.
Your image can be realistic, artistic or cartoonish.
There are only three rules:

1. Keep to the size 12.7 x 12.7cm (5 x 5 inch) square. Please don’t go over the edges or attach anything to make the square any bigger
2. Make sure it is not too heavy. When your square is stitched to all the others to make our banner, it needs to hang without pulling down the rest of the banner
3. Sign your artwork if you want to (you can remain anonymous if you’d prefer)

When you have finished your square, please give your artwork to the CHAP member who gave you this information sheet. Or email Janet Biggin at big.gin@talktalk.net. Also, contact Janet if you have any questions or concerns.
